Paperless-ngx 3.0 is best known for AI and a much faster search. But the release is packed with smaller wins that make everyday document management noticeably better. Here are the ones you’ll appreciate most.

Document file versions

Documents can now keep a version history. Upload a corrected invoice or a re-signed contract and it becomes a new version of the existing document rather than a duplicate, with sequential, readable version labels. Thumbnails and downloads are version-aware, so everyone sees the latest by default while the history stays intact. For audits and “wait, what changed?” moments, this is a quiet game-changer.

Sharing used to be one document per link. 3.0 adds sharelink bundles — a single link that hands someone a curated set of documents, and bundles are included in export/import so they travel with your archive. It’s perfect for handing an accountant a year of receipts or a lawyer a case file.

Live document updates

The interface now reflects changes live: when something is tagged, edited or consumed in the background, the relevant views update without a manual refresh. Combined with a tidier sidebar and an auto-hiding search bar on mobile, the app feels far more responsive.

Duplicate detection, done gently

Paperless-ngx used to reject duplicate files outright. Now it allows duplicates with a warning and gives you a UI to discover and resolve them — handy when the same statement arrives twice or a rescan is slightly different. SHA-256 checksums (replacing the old MD5) underpin the improved integrity checks.

Redesigned Tasks UI

The entire task system was rebuilt for 3.0. There’s a new Tasks interface, rich progress bars for imports and indexing, a small task summary in the system status, and correlated consumer logs so you can follow a document through the pipeline. Background work is finally first-class in the UI.

Smarter workflows and mail

Automation gained several upgrades:

  • Password-removal action — workflows can strip a known PDF password on ingest, so protected statements import cleanly.
  • Barcode splitting — split a scanned stack into separate documents based on tag barcodes.
  • Saved view sharing and ‘any of’ trigger filters make rules more flexible.
  • Mail rules got deduplication across rules and an option to stop processing further rules.

Security and access

3.0 also tightens permissions: autocomplete now enforces current permissions, there are dedicated view_global_statistics and view_system_status permissions, configurable SSO group claims, and app-OIDC support. Sensitive endpoints were hardened throughout the beta.
